2. NSW combined STC and ESC applications

In order to give some context to why the Express ACTIV8 app is configured the way it is for combined STC/ESC jobs, it is useful to understand the rigorous framework that the governing body, IPART, have mandated.

The process MUST BE followed precisely and sequentially and failure to do so will result in a rejection of the application and financial loss to your company, as there is no process to retrospectively amend an application.

Express ACTIV8 is a series of stop/go processes that ensure that the application is completed correctly every time, provided that the correct photos are taken.

Express ACTIV8 takes the hard work out of rebates

In broad terms the process is as follows…

  1. The consumer must receive a quote for works to be done.

  2. The consumer has to accept the quote.

  3. The consumer has to co-pay at least $33.00 +GST for the works.

  4. The consumer has to sign a nomination form that allows our app to create the ESC certificates.

  5. The consumer must receive a copy of the nomination form.

  6. The plumber needs to have completed the training module and must conduct a site survey.

  7. All relevant photos need to be taken as described in the training module.

  8. The plumber needs to sign declarations to attest to details about the installation.

  9. The plumbing licence holder needs to sign a Plumbing Certificate of Compliance.

  10. The consumer needs to sign a post implementation declaration stating that the works have been completed.

Sounds complex, right? And it is, however Express ACTIV8 efficiently automates all of these tasks. If you can use a mobile phone, you can use Express ACTIV8.

  • Step 1

    Once you have registered on the app, you will need to configure your cost items in your profile. If you have not configured these fields, you will be prompted to do so when you do you first quote.

    Tap on Quote Pricing Configuration.

  • Step 2

    These cost items make up the quote that will be delivered to your customer. Simply populate the fields with the sell price of the items to total the final end price that you are happy with and let Express ACTIV8 do the rest.

  • Step 3

    When doing a STC/ESC job, tap on Quote.

    If you are not registered in NSW, you will not be able to use the Quote function. If you work across borders, please contact Wulfe so we can accommodate your needs.

  • Step 4

    Populate the field based on site conditions.

    The price shown is before ESC rebates.

  • Step 5

    Add a proposed install date. Express ACTIV8 makes the opportunity reactive and allows you do the job on the same day rather than waiting days to get the paperwork in order.

  • Step 6

    Answer the questions on this screen and then tap Send to Customer.

    This will automatically send the quote to your customer for acceptance.

  • Continue

    Now it’s over to your customer.

    Proceed to customer’s responsibility and requirements.

3. Customer’s responsibility and requirements

Step 3a

Your customer will receive an email with a link to the quote.

Step 3b

The quote will be formatted with your company name, the detailed price showing the ESC discount.

If your customer wishes to proceed, they will tap Proceed to Pay Deposit.

Step 3c

Express ACTIV8 is equipped with a payment gateway. Your customer will need to use their credit or debit card to make a payment of $50+GST.

Please note, cash payments are not permitted as there is no way of automatically recording the transaction. The deposit will be remitted back to you on finalisation of ESC payments less the merchant fee.

Step 3d

Your customer will automatically be routed to the Nomination form where they will declare that this is the first time that they have claimed and sign the form.

STC & ESC Activation

4. Activation of a newly installed system after quote accepted

  • Step 11 of 31

    When your customer has completed the steps as outlined previously, then and only then will the job be moved automatically from the Current tab to the Accepted tab.

    The job cannot be started until this happens. Simply tap on the job and then tap on ACTIVATE SYSTEM.

  • Step 12 of 31

    Tap START to do the job.

    Please note that there is a requirement for a picture of the old system PRIOR to removal.

    DO NOT remove the old system until you have started the activation process as it will result in a failed application.

  • Step 13 of 31

    You will need to read the declaration and sign as the site assessor.

    This does not need to be done by the Plumbing Licence holder, it can be done by the tradesperson doing the job.

  • Step 14 of 31

    Take a photo of the old system’s compliance plate. If it is severely weathered and illegible, you will still need to take the image of where it is.

  • Step 15 of 31

    Take a photo of the old system in situ with pipes connected.

  • Step 16 of 31

    You are now ready to activate a system.

    Since your customer has accepted the Quote you sent to them, you can now proceed to Activate the new system.

  • Step 17 of 31

    The site address for the installation will be prepopulated here. Check the details entered are still correct then tap begin activation to continue.

  • Step 18 of 31

    Press START to commence the activation.

  • Step 19 of 31

    Answer a few simple questions about the installation site then tap Next.

  • Step 20 of 31

    Use the app to take a picture of the new system’s compliance plate. Make sure that you are close to the compliance plate and not at an angle so the barcode can be automatically read by the camera.

    Tap Next to continue.

  • Step 21 of 31

    Take a selfie with the new system visible in the photo.

  • Step 22 of 31

    Take a photo of the new system with all the pipework connected.

  • Step 23 of 31

    Take a photo of the old hot water system that has been removed.

  • Step 24 of 31

    Take a photo of the front of the property.

  • Step 25 of 31

    Choose if you are the Plumbing Licence holder. This will ensure that only you will receive any back up documentation.

  • Step 26 of 31

    Read the declaration and tap Accept.

    Sign the application under your selfie, then tap Next to continue.

  • Step 27 of 31

    If your customer is present at this stage, they can sign the Post Implementation form on your device. If not it will be emailed to them by the app.

  • Step 28 of 31

    It is very important that your customer signs the Post Implementation form as failure to do so will stop any payment to you.

    It is your responsibility that this gets done.

  • Step 29 of 31

    On the heat pump control screen, press TIMER and BOOST buttons together and hold for at least 10 seconds.

    A 4-digit code will appear on the screen.

    Now go back to the ACTIV8 app on your phone to continue….

  • Step 30 of 31

    On your phone app, enter the 4-digit code shown on the heat pump control screen and press GET ACTIVATION CODE.

    Go back to the heat pump control screen to continue.

  • Step 31 of 31

    On the heat pump control screen, press the ON/OFF button and the first digit will flash.

    Use the + and – buttons to enter the first number of your activation code.

    Press SET to store the number and advance to the next.

    Repeat until all numbers have been entered and the system will start.

  • Completion

    Once the job is complete it will automatically be submitted to our certificate creator for processing.

    This can take some time as the audit processes are rigorous.
